This individual will play a crucial role in ensuring the smooth operation of our clinic and supporting our staff in their daily responsibilities.

Job Summary: The Practice Manager is responsible for overseeing the day-to-day operations of the clinic, ensuring that all departments function efficiently and effectively. This role requires a seasoned professional with experience in clinic management who can handle a wide range of tasks, from addressing patient complaints to managing HR issues and ensuring compliance with HIPAA regulations. The Practice Manager will work closely with the CEO and other department heads to maintain and enhance the high standards of our clinic while ensuring adherence to established protocols and procedures.

Key Responsibilities:

  • Operational Oversight: Manage daily clinic operations, including front desk, scheduling, medical records, revenue cycle, and nursing departments. Ensure that all teams adhere to established protocols and operational standards.
  • Patient Relations: Address and resolve patient complaints and concerns in a timely and professional manner. Ensure that patient satisfaction remains high and that issues are addressed in accordance with clinic policies.
  • Compliance and Quality Assurance: Monitor and enforce compliance with HIPAA regulations and other relevant laws. Ensure that clinic operations meet quality and safety standards.
  • Human Resources: Handle HR-related tasks including staff onboarding, performance management, and resolving workplace conflicts. Ensure adherence to HR policies and procedures.
  • Revenue Cycle Management: Oversee billing, coding, and collection processes. Work with the revenue cycle team to ensure accuracy and efficiency in all financial transactions.
  • Team Support and Accountability: Provide guidance and support to front desk staff, schedulers, medical records personnel, and nursing staff. Ensure that all team members are held accountable for adhering to clinic protocols and procedures.
  • Problem-Solving: Address and resolve day-to-day operational issues as they arise. Provide solutions and support to ensure smooth clinic operations.
  • Communication: Maintain clear and effective communication with the CEO, staff, and patients. Facilitate interdepartmental collaboration and address any issues that may impact clinic operations.

Qualifications:

  • Experience: Minimum of 3 years of experience in clinic management or a similar role within a healthcare setting. Proven track record in managing daily operations and handling complex issues.
  • Education: Bachelor’s degree in Healthcare Administration, Business Administration, or a related field. A Master’s degree or relevant certifications (e.g., Certified Medical Manager) is a plus.
  • Skills: Strong leadership and interpersonal skills. Excellent problem-solving abilities and the capability to handle sensitive issues with discretion. Knowledge of HIPAA regulations, HR practices, and revenue cycle management.
